Membership

Membership is open to all garden lovers and seekers of knowledge and friendship. Dues are $20 per year. Guests are always welcome.

Projects

Continuing projects and civic beautification

  1. In April the Civic Beautification Chairman, with the help of a 6-person committee, designs the planting beds at City Hall and Cahoon Park Gazebo. Fifteen members plant these beds in late May and June. A team of two members weeds each bed weekly. These responsibilities continue from May through October.
  2. On Arbor Day, the club donates a tree to the City of Bay Village. Officers, members, and the community take part in the ceremony.
  3. During the first week of December the club sponsors one day of afternoon and evening classes called "The Greening of Bay." It is the only fundraiser of the year. All members are involved. The club has been sponsoring this activity for the last twenty years.
  4. Increase member participation in the club's activities and projects by personally phoning
    members before events to invite them to participate.
  5. Continue to recruit membership through personal invitation, publicity of programs, and "The Greening of Bay."
  6. In November, the entire club creates holiday decorations for shut-ins. These small boxwood trees are also placed in public buildings in the city to call attention to our fundraiser, "The Greening of Bay." We contribute 30 or more trees to the city's shut-ins each year.
  7. Each year the City of Bay Village celebrates the "Citizen of the Year." Our club donates and makes the floral centerpieces that grace the tables for this event.

New projects

  1. Expand our Youth Program to involve more community young people in gardening projects.
  2. Develop a plan with the city to add plantings to our city signs at entrances to Bay Village.  This will give a more welcoming experience to people as they enter our community.
  3. Develop smaller interest groups within our organization for Yard Art, Cooking with Herbs, and Garden Discoveries. The purpose of these new smaller groups is to help foster friendships among our members.
  4. Encourage participation in Botanical Garden's flower shows, both as volunteers and exhibitors.

By-laws and standing rules

By-laws

ARTICLE I. Name and Purpose

Section 1. The name of the club shall be Bay Village Garden Club.

Section 2. The purpose of the club shall be to inspire an interest in home gardening and the preservation of nature, and to promote community beautification.

ARTICLE II. Membership

Section 1. Membership dues shall be $20.00 per year, payable by June 1 and delinquent after June 30. New members joining after the October meeting shall pay $12.00 for the balance of the year.

Section 2. All dues will include membership in the Garden Club of Ohio, Inc. and The National Council of State Garden Clubs, Inc. A member shall not receive a Club Newsletter if the dues are delinquent.

Section 3. The club welcomes members to bring guests to any of its regular meetings.

ARTICLE III. Officers-Executive Board

Section 1. The officers of the club shall consist of a President, 1st Vice-president, 2nd Vice-president, Recording Secretary, Corresponding Secretary, and Treasurer.

Section 2. The Executive Board shall consist of the elected officers, the immediate Past-President, and Chairmen of Standing Committees.

Section 3. The Nominating Committee shall be named by the Executive Board not later than the March meeting and shall consist of three members, none of whom shall be officers of the club. It is desirable that a slate of two or more names for each office be the objective. A slate of one candidate per office shall constitute a valid slate. The slate of candidates shall be printed in the Newsletter preceding the May meeting. The Nominating Committee shall present its slate of candidates at the regular May meeting. Nominations from the floor may be made at this time upon previous consent of the nominee.

Section 4. Officers shall be elected by ballot to serve for a term of two years. When there is only one candidate for an office, she may be elected by acclamation following a motion to that effect from the floor. Officers shall be installed at the June meeting.

ARTICLE IV. Duties of Officers

Section 1. The President shall preside at all regular and special meetings and at Executive Board meetings. She shall be an ex-officio member of all committees, with the exception of the nominating committee.

Section 2. 1st Vice-president shall perform the duties of the President in her absence. She shall also act as Program Chairman.

Section 3. 2nd Vice-president shall perform the duties of the 1st Vice-president in her absence. She shall be Chairman of the Yearbook.

Section 4. The Recording Secretary shall keep the minutes of all meetings in duplicate...one copy to be submitted to the President within ten days of the meeting. She shall keep an attendance of members and guests, and a record of all club properties.

Section 5. The Corresponding Secretary shall send out notices of all meetings and be responsible for the monthly newsletter. With the aid of the President, she shall handle all correspondence.

Section 6. The Treasurer shall have custody of all funds of the club, pay all bills, as approved by the Executive Board, and shall cooperate with the Membership Chairman and the Secretary in keeping an accurate list of the club members. She shall cooperate with the Ways and Means Committee in all financial aspects of fund raising.

ARTICLE V. Committees

Section 1. The President shall name all standing committees and appoint a chairman for each, for a two year term. Each chairman shall name her own committee.

Section 2. The standing committees shall be: Cleveland Botanical Garden &Garden Club of Ohio Representative, Civic Beautification, Community Council, Environmental Concerns, Historian, Hospitality, Hostesses & Properties, Membership, Publicity, Social Services, Sunshine, Ways and Means.

Section 3. The Membership Chairman shall be responsible for Collecting annual dues in June, forwarding same to the Treasurer and submitting an updated membership list to the club President and Corresponding Secretary. She will forward the list to the Treasurer for payment to The Garden Club of Ohio, Inc. by March 1st.

Section 4. Additional committees may be added at the discretion of the President.

ARTICLE VI. Meetings

Section 1. Regular meetings shall be held on the 4th Monday of each month from September - June at noon in the Bay Community House, unless otherwise designated.

Section 2. Quorums...30% of the membership shall constitute a quorum at any regular or special meeting.

Section 3. A majority shall constitute a quorum at an Executive Board meeting.

ARTICLE VII. Donations

Section 1. The club shall be non-political and non-sectarian in character.

Section 2. The club may make no donations for any purpose without two-thirds majority consent of the members of the Executive Board.

ARTICLE VIII. Amendments

Section 1. The by-laws may be amended by a two-thirds vote of the members present at a regular meeting called by the President, following the submission of the proposed amendment at the previous meeting or in writing ten days prior to the meeting at which time such amendment or amendments are to be voted on.

ARTICLE IX. Parliamentary Authority

Section 1. The current edition of Robert’s Rules of Order shall be the Parliamentary authority of the club.

Standing rules

Upon the death of a member, the club will place at the funeral home a single flower and a card stating that a memorial will be planted in the city or a book will be purchased for the Bay Village Library.
